AI Use in Clinical and Administrative Documentation

This policy explains how I use AI tools in my practice, what happens to information when they're used, and what choices you have.

What AI is used for

Some of my clinical documentation is drafted with the help of AI tools built into Splose, my practice management system. These tools assist with writing up sections of a consultation note based on what was discussed.

AI is never used to make a clinical decision, reach a diagnosis, decide on a course of treatment, calculate a dose, or determine whether your care needs to be referred or escalated. Those are always decisions I make myself, based on my own clinical judgement.

Every note is reviewed by me before it becomes your record

Nothing drafted with AI assistance becomes part of your permanent record unedited. Every entry is read, checked against what was actually discussed, corrected where needed, and signed off by me before it's finalised. If you ever want to see exactly what's in your record, you can ask.

Where information goes

Splose's AI features are powered by third-party AI technology, including OpenAI. This means some information may be transmitted outside Australia for the specific purpose of generating a note draft. Splose takes steps to protect this information in line with Australian privacy standards, and it's processed only for this purpose. This is a function of the software I use, disclosed in full in Splose's own privacy policy, which I'd encourage you to read if you want the technical detail: splose.com/privacy-policy.

Nothing generated through this process is used for advertising, sold to any third party, or published anywhere without your specific, separate consent.

You can say no

You can decline AI-assisted documentation for any appointment, or all of them, at any time. Just let me know. It won't affect the quality or availability of your care in any way. Your notes will simply be written the traditional way.

Correcting your record

If you believe anything in your record is inaccurate, whether it was AI-assisted or not, you can ask for it to be reviewed and corrected. See my Privacy Policy for how to make this request.
